Human Resource Management
Human Resource Management is the workforce system of record for Nashua 360. It owns every stage of the employment relationship, from the first application through hiring, daily operations, compensation, development and eventual departure, holding each person as one continuous record rather than a series of disconnected transactions in separate tools. The module answers a problem that grows more expensive with headcount: keeping employee data, pay, time, talent and compliance consistent across an organisation that changes shape every month.
It sits at the centre of the suite as the authoritative source of who works for the organisation, in what role, at what cost and under which terms. Where other modules need a person, a reporting line, a labour rate or a leave balance, they draw it from here. This single spine removes the reconciliation work that fragments most HR estates and lets payroll, project costing and expense control operate on identical, current facts.
What the module does
The module manages the complete employee lifecycle as an integrated whole. Employee master data holds personal details, employment terms, compensation structures and the organisational hierarchy, with full effective dating so that a promotion, transfer or salary revision is recorded as a change over time rather than an overwrite. Payroll calculates gross to net across multiple countries and pay frequencies, applying earnings, statutory and voluntary deductions, employer contributions and tax, then produces payslips and the postings that close each run. Time and attendance covers clock in and out, timesheets, leave management with accrual and carry-over rules, and shift and rota planning. Recruitment runs job requisitions and postings, applicant tracking, interview scheduling and structured offer management. Talent brings performance reviews, goal setting, competency frameworks and succession planning, while learning and development manages courses, enrolments, certifications and completion. Self-service gives employees and line managers direct, permissioned access to their own data, requests and approvals, and live org charting keeps the reporting structure visible and navigable across the whole organisation.
Domain and data model
At the heart of the module is the person as a durable identity that persists across every role they hold. A candidate who is hired does not become a new record: the same identity carries forward, so history from first application to final settlement remains attached to one file. Around this identity sits the employment record, which captures the terms under which someone works, the contract, working pattern, grade and cost centre, and which can hold several concurrent or successive assignments for people who move between roles or hold more than one at once.
Compensation is modelled as structured, dated pay elements rather than a single figure, so base salary, allowances, recurring and one-off payments and their tax and reporting treatment each carry their own rules and validity periods. Time is expressed through balances and entitlements: leave types accrue, are consumed by approved absence and reconcile automatically, while worked and planned hours flow through timesheets and rosters. The organisation itself is held as a living hierarchy of positions and reporting lines, distinct from the people who occupy them, so a restructure can be modelled without disturbing individual records. Talent and learning attach to the same identity as an evolving picture of capability: the goals set, reviews completed, competencies held and qualifications earned. Because every concept hangs from one identity and every material change is dated, the module can answer not only how things stand today but how they stood on any past date.
Principal workflows
Recruitment begins with an approved requisition that inherits its role definition, grade and budget from the position it fills. Applicants progress through configurable pipeline stages, interviews are scheduled against panel availability, and a successful candidate receives an offer that, once accepted, converts directly into an employment record without rekeying. Onboarding then provisions the new joiner, opens their self-service access and enrols them in required learning.
Day to day, employees and managers work through self-service: recording time, requesting leave, submitting timesheets and completing review tasks, each routed for approval along the reporting line with delegation and escalation where needed. Leave requests check live balances before they are granted and update entitlements on approval. The payroll cycle collects the period's inputs, earnings, absence, variable pay and changes to standing data, runs calculation, presents results for review against prior periods, and on sign-off generates payslips and the financial postings. Offboarding closes the loop, settling final pay and outstanding balances, revoking access and moving the person to alumnus status while preserving the complete record for audit and rehire.
Functional depth
Payroll is where correctness is unforgiving, and the module treats it accordingly. Calculation follows an ordered rule set so that gross builds from base and variable earnings, statutory and voluntary deductions apply in the correct sequence, and tax and social contributions compute against the right thresholds, bands and employer liabilities for each jurisdiction. Multi-country operation means each population runs under its own calendar, currency, rounding and statutory model while rolling up to a single consolidated view. Every run is a controlled event: inputs are locked, results are checked against the prior period and variance tolerances, and sign-off is required before payslips issue or postings are cut, giving a clean, repeatable close.
The accounting treatment is precise. Each run resolves to balanced double-entry journals that debit salary, employer contribution and benefit expense to the correct cost centres and credit the net pay, tax and deduction liabilities that settle later, so the general ledger reflects labour cost in the period it is earned and the balance sheet carries what is still owed. Leave and other entitlements are valued so that accrued liabilities are visible rather than hidden. Controls run throughout: segregation of duties between preparation and approval, a complete and immutable audit trail of who changed what and when, permissioned visibility so sensitive pay and personal data reach only authorised eyes, and retention aligned to data protection obligations. Competency and certification tracking additionally supports regulatory requirements where a role may only be performed by a suitably qualified person.

The module is the workforce spine the rest of the suite relies on. Its integration with Accounting and Control is the deepest: every payroll run posts its salary, contribution and liability journals straight into the ledger against the correct cost centres, so labour cost and payroll liabilities appear in the financial statements without manual re-entry, and the two systems reconcile by construction. With Project Management, time booked to tasks and projects flows through the same timesheets that feed payroll and attendance, using each person's true labour rate to cost project effort accurately and to keep utilisation and delivery reporting grounded in real hours.
With Expense Management, the module supplies the authoritative employee lookup, reporting line and approval hierarchy, so claims route to the right approver, reimburse to the right person and settle through the same financial pathways. Across all of these, one identity, one org structure and one set of pay and cost facts are shared, which is what removes the duplication, mismatch and reconciliation effort that separate HR, finance and project systems otherwise generate.
AI Workers in the module
AI Workers operate inside Human Resource Management as first-class participants, not as a bolt-on. They answer conversational questions over module data, so a manager can ask for a team's remaining leave, a joiner's onboarding status or the cost impact of a proposed pay change and receive a grounded, permission-aware answer. They execute actions directly, drafting an offer from a requisition, preparing a payroll run, scheduling interviews around panel availability or raising a leave adjustment for approval.
They watch continuously for anomalies and exceptions: a payroll variance outside tolerance, a timesheet that breaches working-time limits, a lapsed certification for a role that requires it, or absence patterns that warrant attention, and they alert the right people before a run closes or a rule is breached. They extract and structure data from inbound documents, reading a CV into a candidate profile or a signed contract into employment terms. They provide decision support during reviews, compensation planning and succession, surfacing comparators, flight risk and readiness. And they act as approval or review nodes in workflows themselves, checking a payroll run, validating a change against policy or clearing a routine request, escalating to a human wherever judgement or accountability requires it.
